Candidates often arrive by email — a referral with a CV attached, applications in a careers@ inbox, threads from before you had an ATS. Forward them to Needle instead of copying data over by hand.

Find your address

Go to Settings → Email Forwarding. Every organization has its own address on agents.needle.so. Forward individual emails to it, or set up an auto-forward rule so your whole careers@ inbox flows in.

What happens to a forwarded email

Needle reads the email and its attachments, then:

Extracts the candidate

Pulls out name, contact details, and CV from the message and its attachments.

Matches or creates a profile

Deduplicates against existing candidates — no duplicate profiles. See pipeline.

Attaches to the right job

Uses the email content and any job reference to attach the candidate to the fitting job.

Keeps the thread on the timeline

The full email thread lands on the candidate’s timeline.
If the email is an application, screening runs like it would for a career-page applicant.

Who’s allowed to forward

Members of your organization, by default. To let anyone else forward — a founder, a hiring manager who isn’t in Needle, an external recruiter — add their address under Allowed senders in the same settings tab.
Emails from addresses that aren’t allowed are rejected silently and never appear on a candidate’s timeline.
